Terms & Conditions

These Terms & Conditions (“Terms”) govern access to and use of the Dokia platform and services (“the Service”), operated by Dokia with its address at Cerro de Acasulco 81A Colinas del Cimatario, Querétaro, Querétaro, Mexico. By registering for or using the Service you accept these Terms in full.

1. Acceptance

By creating an account or using the Service you represent that you are of legal age and have the capacity to be bound. If you act on behalf of a company or firm, you represent that you are authorized to bind it to these Terms.

2. Description of the service

Dokia is a document-automation platform that lets you extract data from documents, create and fill templates, manage variables, and run a role-based approval workflow. The Service is provided “as is,” and we may improve, modify, or discontinue features with reasonable prior notice.

3. Account, registration, and roles

You are responsible for the accuracy of the information you provide, the confidentiality of your credentials, and the activity carried out under your account. You must notify us immediately of any unauthorized use. Managing users and roles (collaborator, editor, approver, and administrator) is the account holder’s responsibility.

4. Plans, pricing, and payments

Plans and prices are shown on the site in US dollars (USD) per month unless stated otherwise. Subscriptions have no lock-in and you may cancel anytime; cancellation takes effect at the end of the period already paid. Prices may change with reasonable prior notice. Applicable taxes will be added where relevant.

5. License and acceptable use

We grant you a limited, non-exclusive, non-transferable license to use the Service under these Terms. You agree not to:

  • Use the Service for unlawful purposes or without the necessary authorizations over the documents you process.
  • Compromise the security of the Service, reverse-engineer it, or access others’ accounts.
  • Resell or sublicense the Service without our written consent.

6. Your documents and data

You retain ownership of the documents and data you upload. For the personal data contained in them, you act as controller and Dokia as processor, processing it solely on your instructions and to provide the Service, under the Privacy Notice. You are responsible for having a legal basis to process such data.

7. Intellectual property

The Service, its software, trademarks, logos, and interface are owned by Dokia or its licensors and protected by applicable law. These Terms do not transfer to you any intellectual-property right other than the license to use described here.

8. Privacy

The processing of personal data is governed by our Privacy Notice, which is an integral part of these Terms. We recommend reading it carefully.

9. Availability and support

We strive to keep the Service continuously available but do not guarantee uninterrupted operation. We may perform scheduled maintenance and address incidents. Specific service levels (SLA), where applicable, are described in the relevant plan.

10. Warranties and limitation of liability

The Service is provided “as is” and “as available.” To the maximum extent permitted by law, Dokia shall not be liable for indirect, incidental, or consequential damages, nor for data loss arising from misuse of the Service. You are responsible for reviewing and validating generated documents before any official use.

11. Term, cancellation, and termination

These Terms remain in effect while you use the Service. We may suspend or terminate your account for breach, misuse, or legal requirement. Upon termination, you may export your information during the period we indicate, after which it may be deleted under the Privacy Notice.

12. Changes to the Terms

We may update these Terms at any time. We will publish the current version on this page with its update date. Continued use of the Service after publication constitutes your acceptance of the changes.

13. Governing law and jurisdiction

These Terms are governed by the laws of the United Mexican States. For their interpretation and performance, the parties submit to the competent courts of Mexico City, waiving any other venue. In consumer relationships, the Federal Consumer Protection Agency (PROFECO) shall be competent under applicable law.
